How to send a Batch Message

This article explains how to send health campaign messages working in partnership with your clinical system.

The example used in this article is the Smoking Status, but these steps are identical for any Batch Message that you may want to send, i.e. Seasonal Flu Vaccine invitations, Asthma Review, etc.

Downloading a message template

To prepare for sending a Batch Message, you will first need to download an appropriate message template, in this example we will be using ‘Smoking Status’.

  • From the Home Page of Mjog, click Template builder:

  • Click Download Templates:


  • Click the category that is relevant to your campaign, i.e. Smoking:

  • Click Download Templates next to your chosen message template:

Once you have downloaded the message template, it will be stored within Mjog’s message templates (located in Settings).


Sending a Batch Message

The following steps explain how to set up your Batch Message.

Create a new batch message

  • Using your clinical system, create / run a search for the patients (message recipients), and export it as a CSV file.
  • From the Home Page of Mjog, click Send a Batch message:

  • Enter a Name for your Batch Message and then click Save and continue:


Selecting a patient list

  • Click Select patient list:

Clicking the link Learn how to format the file, will provide you with guidance on how to format your CSV file.

  •  Navigate to and select your CSV file, and then click Open:

 

  • Click Continue:

  • Confirm your patient selection and click Save and continue:


 

Selecting a message template

  • Click Select template:

  • Select the message template:

Coding a Batch message

 

You can now assign the appropriate read codes for the responses that your patients will submit, i.e. if they smoke, are an ex-smoker, etc.

Coding Responses for the SMS Template

  • Select the SMS message tab:

  • Click Add code for a response, i.e. SMOKE:

  • Search by description (or code), and click Select next to the relevant code:

  • Click Save:

Repeat these steps for the remaining responses.


Coding the delivery for the SMS Template

  • Click Add:

  • Search by description (or code), and click Select next to the relevant code:

  • Click Save:

Coding Responses for the Smart Template


  • Select the Smart message tab:

  • Click Add code for a response, i.e. I smoke tobacco:

  • Search by description (or code), and click Select next to the relevant code:

  • Click Save:

Repeat these steps for the remaining responses.

Coding the delivery for the Smart Template

  • Click Add:

  • Search by description (or code), and click Select next to the relevant code:

  • Click Save:

  • Click Save and continue:

If you have forgotten to add coding to any statuses, you will receive a warning.

 


 Choosing a delivery date

  • Select a date / time for the delivery of your batch message, and then click Save and continue:


Confirming settings and sending a batch message

  • Confirm your message settings and then click Schedule:

You may wish to send a test message to yourself first!
